Why Networking Zones Often Underperform (And What Actually Works)

Most events promise networking opportunities. It’s a standard feature of almost every agenda. But in reality, designated networking zones are often some of the least-used spaces on-site.

This post shares the most common reasons networking zones fall flat, along with practical fixes based on what the data tells us works better.


1. They’re Placed and Then Forgotten

Networking zones are often included late in the planning process and left to run themselves. They’re marked on the map, perhaps given a sponsor logo or some seating, and that’s it. On the day, no one owns them. No one drives footfall. And as a result, very few attendees use them.

We often see people pause near these spaces or walk past slowly, then keep moving. The interest is there. There’s just nothing inviting them in.

What works instead:

Place networking areas near zones with built-in movement such as coffee stations, lounges or breakout rooms. Add soft cues like grouped seating, subtle branding, or ambient lighting. Most importantly, treat the space like a live feature, not filler.

2. The Location Doesn’t Match How People Move

You can place a networking zone right in the centre of the venue and still see poor engagement. We’ve seen this happen when spaces look good on paper but sit outside natural flow patterns. If attendees aren’t already heading that way, they won’t just wander in.

One lounge we tracked had excellent signage and a strong sponsor presence, but was tucked behind the main stage. It saw almost no repeat visits across a two-day event.

What works instead:

Use historical movement data to find natural dwell points. These are places where attendees slow down, pause, or reroute. These often outperform the “obvious” locations. Design your networking layout to work with attendee behaviour, not against it.

3. They’re Always Open, So People Ignore Them

An always-available networking area sounds flexible. But in reality, attendees often interpret it as low-value or optional. Without a clear reason to visit, they usually don’t.

We’ve seen many networking zones go quiet after an initial burst during registration. After that, they sit mostly empty for the rest of the day.

What works instead:

Add light structure. You don’t need a formal programme, just a reason to show up. This could be a themed hour, a meet-the-speaker drop-in or a quiet co-working block during a session break. Time-specific messaging helps too, especially if promoted on screens or through the app.

Some organisers go one step further with location-based meeting setups. Using high tables numbered in the app, attendees can pre-book short, timed meetings at designated locations. Each table hosts only one meeting per slot, creating a natural sense of urgency and limited availability.

At several flagship events, this approach has helped move from zero scheduled meetings to hundreds, all without needing extra floor space or staff.

4. No One Wants to Be the First One In

This is one of the most consistent behavioural patterns we see. Even attendees who want to network will avoid an empty space. They’ll walk by. Hover. Check their phone nearby. But they won’t be the first to sit down or start a conversation.

The space only starts working once a small group has already committed to being there.

What works instead:

Seed the space early. Place friendly staff, sponsor reps, or well-briefed speakers in the zone ahead of time. Schedule a soft launch or timed prompt that draws a small group in. Once it’s visibly active, momentum builds quickly.
